Logistic Coordinator, Poland
About The Role
The Logistic Coordinator is responsible for providing customers with clear and accurate pre-sale advice on the Gunnebo spare parts product range, including stock availability, specification, and pricing queries, and taking an order. Post-sale responsibility for coordinating prompt and timely supply, logistics and service elements of the order, making sure the Customer is kept fully updated on availability and expected delivery dates.
The role is pivotal in ensuring the Customer feels valued and engaged at all stages of the sales cycle, with a focus on building effective lines of communication with regular and repeat Customers. This person is also responsible for triggering and following daily business operations within all warehouses in Europe and nominated forwarders for transportation, seeking continuous improvement.
What You Will Do
Key responsibilities:
Provide an exceptional Customer experience by handling interactions in a professional and supportive manner
Advise on availability and lead time for product configurations,
Become a master user of the ERP system for all sales and inventory transactional processes
Log orders onto the ERP system in a timely manner and handle them till invoicing (E2E)
Confirming orders and delivery dates to customers in accordance with internal SLA
Book transport requests onto the portal of third-party logistics providers including RFQ
Trigger picking list to the warehouse and oversee operations proactively
Track and monitor Customer open order status reports ensuring timely delivery and invoicing
Manage delays in an effective manner and ensure priority is given to managing customer expectations
Ensure fulfilment of deliveries to meet on-time in-full KPIs (“OTIF”) and challenge suppliers for improved service
Ensure regular and month-end invoicing is completed in a timely and accurate manner and systems are maintained
Ensure unexpected costs are managed and passed onto the Customer where the scope has changed
Checking and the first approval of nominated supplier invoices vs. expectation and rate-cards
Take a continuous improvement approach to own performance and processes
Responsible for operations for some local warehouses being the line manager for warehouse employees
Who we are looking for
Higher education (preferably in Logistic, supply chain or international trading)
Fluent English (B2/C1)
Knowledge of Microsoft D365 would be desirable
Experience of working within a fast-paced supply chain environment
Flexible and driven to learn new skills
Problem-solving skills; takes a logical approach to issues, doesn’t look to pass on every issue to the manager
Great communication skills; able to build strong remote relationships with 3PL and customers
Calm, clear thinker; operates well under pressure
Ability to multi-task, and prioritize effectively to handle a varied and busy schedule
Gains and maintains trust; doesn’t hide bad news
Pragmatic approach to getting things done in priority order
An ability to seek opportunities for increased revenue or cost saving
Works well across teams, locally and internationally
Actively seeks out work during quieter times
Confident in working across the Microsoft Office suite, particularly Excel, and experience using ERP systems
